Previous Assignment Scenario
Lucky Me Animal Rescue Strategy Map
The Lucky Me Animal rescue adoption project will involve several teams taking part
in different activities. The project aim is to increase the animals’ adoption rates. This
objective has minor objectives which include providing home to as many animals as
possible and getting the right people to adopt the animals.
The project has a two-month timeline and also aims at minimizing the cost of the
process through utilizing volunteers from the local community. The project will be
managed by a project manager who will oversee all the activities are done right and
on time.
This means that the balanced matrix organizational structure will be adopted. The
project manager has partial authority and a full-time role. The team leaders will
report to project manager. The project will have the project manager and the team
leaders form the work breakdown structure and write down the activities which
include:
grooming the animals one week before the event, taking pictures of all the animals
available for adoption and posting them, arranging the adoption venue, promoting
the event through the local community, conducting the adoption process.
Project Manager’s Role
The project manager’s role is one of the most critical leadership roles of a project
team. The project manager will evaluate and analyze the project prior to the initiation
(Project Management Institute, 2017). The project manager will develop the
schedule for the project together with the expected budget using the work
breakdown activities.
The project schedule is one communication method where each team will be
required to do their activities within the planned time.
Project Communication
The project schedule will be communicated to the teams through telephone calls and
emails. Each team will have a leader who will ensure the team is timely and
effectively completing each task. The other communication method to be adopted is
the live meeting which will be done at the team level involving the team leader and
the specific team.
This meeting will be done daily to discuss the tasks progress, challenges
experienced and any changes required (Daim, Et Al., 2012). Live meeting will also
be conducted weekly between the project manager, the Lucky Me animal rescue
management and the team leaders. This is to access the progress of the project, to
identify and discuss arising challenges and develop solutions and also to discuss
changes and any required improvements.
Organizational Structure
The organizational structure of balanced matrix allows the project to have a central
control system where authority flows from the project manager to the team leaders
and then to the team members as explained by Sy, Beach & D’Annunzio, (2005).
The project manager and the team leaders oversee all the activities and are
responsible for ensuring that all the tasks get the required resources on time. The
matrix organizational structure allows the team members to work in areas of
expertise rather than working on various tasks.
This applies to resources where they are used across projects maximizing their use.
This shows that the organizational structure chosen is economical and effective for
the project as it intends to use the minimum resources.
The employee answers to different team leaders making resolving of issues more
quickly rather than the project manager dealing with all the challenges that develop.
The other advantage is multiple tasks can be done as different team with different
leader works on different tasks. This eliminates the problem of tasks duplication as
each team has its own tasks different from the other.
The balanced matric organizational structure also provides ease monitoring of
project progress and control measure can be easily adopted to correct in case of
lagging behind in terms of time. This makes the project to be completed on time.
