Introduction
Time is an expensive asset available to all people regardless of religion, social status, or bureaucratic status, thus the need the need to exercise extra care when using it to achieve pre set goals. Time is limited and cannot be stored once it is used, which implies that it should be carefully managed. Time management is paramount for the achievement of goals because of the inverse relationship between time with productivity and self management (Rombe, 2016). Several challenges hamper effective time management.
The Most Important Challenge I Face in Time Management
The most important challenge I face in time management is interruption. Interruptions refer to occurrences or incidents that delay or impede an individual and they attempt to make progress on a task. Whenever I start working on something, I am interrupted by friends, family, and co-workers. One of the common types of interruptions that I experience is intrusion. This involves an unexpected encounter that is initiated by another person that interferes with the continuity and flow of a task and brings the task to a temporary halt.
Another form of interruption that I encounter are distractions, which are psychological reactions caused by either secondary activities or external stimuli that interrupt with concentration on a task. Distractions result from environmental stimuli or competing activities that are not relevant to the task at hand and negatively affect cognitive processes when attention is diverted (Jett & George, 2003). Distractions do not result only in mediocre performance, but also delayed performance.
My Choices for Managing Time and Achieving Balance
The first choice involves changing my physical workplace. This requires the evaluation of the current workplace and determining how unexpected encounters with friends, family, and co-workers can be avoided by relocating to a different location. The new location should be free from distracters and intrusions from the people likely to interrupt with the tasks being completed. For example, I can move from an open office to a closed cubicle where I only admit people when I am free, rather than allowing people to come in whenever they want.
The second choice involves applying the Urgent and Important (U&I) Rule. This means that the task being performed should always be treated as both urgent and important. The task is important and requires immediate attention, which implies that the attention paid on the task cannot be compromised by intrusion and distraction (Schneider, 2015). This means that I should be willing and able to say “no” to interruptions.
Consequences of the Choices I Make Regarding Time Management
Changing my physical place of work would keep me away from both intrusion and distractions. An isolated location would be free from unexpected social interruptions by limiting contact with friends, family, and co-workers. The isolated location would keep me away from overhearing conversations or being available for interruptions. The locations would also be free from competing activities or environmental stimuli that compromise concentration on the task at hand.
Addressing each task as both urgent and important would help me from compromising the task in favor of interruptions. I would make it clear that I am working on a task that requires a high and immediate attention. I would designate myself as busy for the time I would be working on the task. When people notice that I am busy, they may wait until I am done with the project. It would result in enhanced attention and an improved speed in completing tasks.
What I Will Do to Meet the Challenge I Face in Time Management
I will choose to treat every task as both urgent and important and fully concentrate on the task without interruptions, both intrusions and distractions. This would also including managing expectations by letting those around me or others know in advance that I would be working a project that is both urgent and important, thus the need to avoid interrupting. For example, I will inform friends, family, and co-workers that I will be working on a task that should be done within a specified short period.
Treating every task as both urgent and important is preferred over finding a new location because the later is a long-term solution while the later is a short-term approach that would not stand the test of time. Finding a new location would only be useful only for the short period that family, friends, and co-workers may not be aware of the place. Once the new location is known, interruptions would be inevitable.
How I Will Check the Outcome of My Choices
I will check the check the outcome of my choice by comparing the time taken to complete similar tasks. It is expected that treating each task as urgent would result in a shorter time taken to complete. Effective time management and reducing interruptions would help in avoiding the need to procrastinate. Compared to previous and current tasks, there would reduce delays in starting and completing work.
The outcome of the choice would also be checked by comparing the quality of the completed work with similar tasks that were completed in the past. Improved quality of work would be achieved when the task is treated as an important one, and a high level of concentration paid when working. Reducing interruptions is expected to help in avoiding mediocre performance when working on tasks that are complex and demanding.
Conclusion
Interruptions, which include both intrusions and distractions, are a major challenge in effective time management. The two choices for managing interruptions and achieving balance include finding a new working location and treating each task as both urgent and important. A new location would limit contact with friends, family, and co-workers, but the solution would be short-term. Treating each task as both urgent and important solution is an effective, long-term solution because others would always be informed that I would be busy working on a project. Comparing both the time taken to complete tasks and quality of the completed tasks with those completed in the past would help in checking the outcome of the Urgent and Important Rule.
